About this Role

We are seeking an experienced PMO Support Specialist to provide end-to-end administrative and governance support across projects, workstreams, and approval forums. This role plays a key part in enabling effective decision-making by ensuring governance processes run smoothly, milestones are tracked, stakeholders are engaged, and reporting is accurate and timely. The role is based in Budapest and works closely with senior stakeholders across the business.

What you’ll do

  • Monitor, measure, and document project progress, effectiveness, and efficiency across multiple initiatives.
  • Support the successful implementation of projects, bids, and workstreams by coordinating planning and governance activities.
  • Organise and manage governance and approval board meetings, including scheduling, agenda preparation, pre-read distribution, minutes, and approval tracking.
  • Prepare and maintain reports on project pipelines, timelines, turnaround times, and key performance indicators at individual and team level.
  • Develop and continuously improve reporting dashboards and management information.
  • Administer and maintain SharePoint sites used by the team and governance bodies.
  • Identify opportunities for process improvement and contribute to quality audits, change control, and continuous improvement initiatives.
  • Provide regular updates and structured reporting to senior management.
  • Track budgets, expenses, risks, and approvals to ensure compliance with agreed processes.

Who you are

  • You bring solid experience in PMO support, project coordination, or a comparable business or IT support role.
  • You have a good understanding of business or functional processes and how governance frameworks operate.
  • You are confident administering SharePoint and working with MS Office tools, including MS Project.
  • You communicate clearly and build effective working relationships, including with senior leaders.
  • You work with a high level of accuracy and attention to detail, even when managing multiple priorities.
  • You demonstrate strong organisational, analytical, and problem-solving skills.
  • You are comfortable working in complex environments, balancing competing priorities and navigating ambiguity.
  • You are fluent in German and English and able to support stakeholders in an international setting.
