Your role in a nutshell:
The Sales Project Management Specialist – Senior role’ responsibility is to manage pursuits from qualification to submission or contracting, to provide process governance and support for the deal team in bid preparation. To shape the
deal strategy in order to maximize chances of winning the business. To ensure that bid activities are managed in a timely manner, meeting the company's objectives and mitigating potential risks. To ensure that proposals satisfy both the customer's and the company's requirements and prepare the bid proposal for approval. This role ensures smooth coordination across workstreams, timely completion of tasks, and adherence to internal governance and compliance
requirements. The Sales Project Management Specialist – Senior role plays a vital role in supporting Sales Lead and deal team by focusing on operational excellence, enabling the team to execute high-quality, client-focused bids efficiently.
At a strategic level, the role will drive:
• Operational Efficiency: Streamline bid processes by managing timelines, tracking deliverables, and maintaining consistent documentation.
• Support for Pursuit Excellence: Ensure all administrative and logistical elements are handled effectively to support the development of compelling, high-quality proposals.
• Governance and Compliance Adherence: Assist in ensuring all pursuits meet internal standards and guidelines for approvals, submission, and governance.

What you’ll do:
• Is responsible high complexity sales pursuits/bids/ RFPs with bespoke elements, with confidential or sensitive elements. Manages these bid projects/ RFP responses from qualification to submission or contracting, where limited bespoke elements are required.
• Create, maintain and update the pursuit workplan, tracking deadlines, deliverables, and milestones.
• Organize and lead pursuit meetings, including kick-offs, reviews, and debriefs, and prepare agendas and minutes.
• Facilitates efficient communication of the bid strategy and the VSOL propositions on meetings with customers upon request. Builds the bid presentation and coaches the team if required
• Reviews and integrates inputs from deal team and various workstreams into a singular format
• Assesses risks related to the pursuit, all over its lifecycle. Proposes mitigation
• Monitor and manage the pursuit calendar to ensure alignment across stakeholders.
• Management of business development/cost of sales budget for each pursuit.
Document Management & Proposal Support
• Lead the work with the content manager to plan and organize key contributions in the proposal document.
• Takes overall responsibility for the timelines and all elements of proposal creation.
• Identifies new content that may be re- usable.
• Assist in creating and updating proposal content repositories and bid libraries
Governance and Reporting
• Manage all internal approval requirements and ensure all necessary steps are completed prior to submission.
• Preparing governance documentation, progression updates, and compliance reports.
• Proactively monitor and track status updates for pursuit progress and share/present reports with key stakeholders.
Client Interaction and Logistics Support
• Schedule client meetings, presentations, and workshops during the sales process.
• Provide logistical support for orals, site visits, and other client-facing interactions as required.
• Attend/Facilitate client meetings as needed.
Operational Excellence
• Initiate/manage process improvement initiatives to enhance the efficiency and effectiveness of pursuit management.
• Maintain and update pursuit management tools and systems, ensuring data accuracy and accessibility.

What you’ll bring to the team:
• Bachelor’s degree in business, Marketing, or a related field.
• 4+ years’ experience in pursuit management, bid management, or a similar role within a B2B or consulting environment.
• 2+ years' experience with sales or proposal development processes
• 2-4 years strategic project management knowledge or equivalent, with a focus on organizing cross-functional teams and coordinating resources.
• Strong organizational and time-management skills, with the ability to manage multiple tasks and priorities effectively.
• Ability to drive/motivate cross-functional teams without authority Proficiency in using proposal management and CRM tools (e.g., Salesforce, MS Dynamics, Qvidian).
• Excellent written and verbal communication skills, with attention to detail in documentation and reporting.
• Expert skills in Microsoft Office Suite (Word, Excel, PowerPoint).
• Understanding of sales cycles and bid management processes
• Confident in facilitating complex virtual teams, proven assertive communication skills
• APMP or similar professional accreditation in Bid and Proposal Management would be considered an advantage
• Excellent relationship building and stakeholder management skills
• Accuracy, attention to detail and analytical skills
