About this Role
We are seeking a skilled HR Operations & Resourcing Specialist to support end-to-end HR operations and resourcing activities for non-mass hiring recruitment. The role combines recruitment administration, personnel operations, HR systems management, reporting, onboarding and offboarding support, and continuous process improvement. The successful candidate will work closely with stakeholders to ensure high-quality service delivery, compliance with service level agreements, accurate HR documentation management, and a seamless employee experience throughout the employment lifecycle.
What you’ll do
Resourcing Operations
Manage day-to-day resourcing operations activities and ensure operational processes are followed effectively.
Create and manage vacancies through the relevant recruitment approval process.
Post vacancies on SuccessFactors and Eightfold platforms.
Archive candidate CVs and maintain recruitment records.
Coordinate and schedule candidate interviews.
Communicate hiring documentation requirements to candidates and support the recruitment administration process.
Personnel Operations
Support the daily operations of HR functions and administration activities.
Ensure documentation is available and maintained for HR systems, processes, and procedures.
Deliver services within agreed service level agreements and operational standards.
Participate in HR projects and initiatives related to HR systems and process enhancement.
Review and update processes and procedures where required, ensuring stakeholders are informed of changes.
Identify opportunities to improve and streamline existing processes.
Issue and authorise HR-related documents, including HR letters, payroll letters, embassy letters, and government-related paperwork.
Manage personal document withdrawal and return processes.
Maintain employee document archiving for all permanent employees.
Support onboarding and offboarding activities across the employee lifecycle.
Coordinate contract signing activities for new joiners and contractor-to-employee conversion processes.
Process contract renewals accurately and efficiently.
Handle confidential employee information with discretion and professionalism.
Coordinate onboarding documentation and schedules to support an effective new-joiner experience.
Manage all required documentation and administration for employee exit processes.
Communicate employee joining and leaving activities with relevant stakeholders and cross-functional teams.
Resolve operational escalations promptly and identify root causes to prevent recurrence.
Service Delivery & Quality
Maintain high standards of operational accuracy and quality.
Monitor service delivery performance against agreed SLAs.
Prioritise workload effectively while demonstrating a strong understanding of business requirements and customer needs.
Resolve and close requests in accordance with established service delivery processes and timelines.
Who you are
Experience & Education
Bachelor’s degree.
3–5 years of HR experience, preferably within HR Operations, Personnel Administration, Shared Services, or Recruitment Operations environments.
Knowledge & Skills
Strong stakeholder management skills.
Effective communication skills with the ability to engage across all organisational levels.
Experience working with HR systems and HR administration processes.
Strong analytical and reporting capabilities.
Good knowledge of MIS reporting and customer service practices.
Advanced Microsoft Office skills, particularly Excel and PowerPoint.
Knowledge of SuccessFactors HR modules and EVO HR systems.
Strong organisational skills with excellent attention to detail.
Ability to manage multiple priorities in a fast-paced environment.
Ability to handle sensitive and confidential information with discretion.
Proactive approach to problem-solving and continuous improvement.
