Purpose:
To provide proactive, professional and confidential PA and administration support to the Business Operations & Transformation Director. Required to build a strong network and act as a professional point of contact across VOIS and partners. A flexible approach to diary management and other administrative activities is required.
What you’ll do
- To manage the diary and commitments, ensuring that the required outcome of the meeting is recorded and that any agenda or pre-requisite material is prepared and received by the Head in a timely manner
- To use judgement to determine whether meeting requests are accepted.
- To manage e-mails and correspondence responding where appropriate on their behalf and/or forwarding for input to the relevant stakeholders,
- Facilitate the production of presentation materials for Internal and External conferences
- To manage travel, itinerary and associated approvals
- Submit expenses in a timely manner ensuring accuracy of information
- Work closely with other PA’s, sharing best practice, pro-actively seeking opportunities for consistency in support or the introduction of new initiatives. Ensure adequate cover is maintained in times of absence.
Who you are
- Excellent Microsoft Office skills
- Proven experience in successfully supporting Senior Executives
- Project Management and excellent organisation skills
- Positive & can-do attitude, resilient with the ability to remain calm when under pressure.
- Strong communication skills, both written and verbal.
- Good influencing ability, confident and challenging when appropriate
- Flexible towards work requirements
- Builds effective relationships, breaks down barriers.
- Understanding of VOIS/Vodafone Technology objectives and policies
- Attention to detail oriented
