What you’ll do

Location: London 

The successful candidate will provide proactive, professional and confidential executive assistance and administrative support to the CFO of VOIS and their wider team as required. The successful team member will play a key part in supporting the Finance Director in their Board role, as part of the General Management team and their broader leadership team. 

The team is operating in a very rapidly changing environment and is keen on bringing on-board a colleague with a pro-active and strategic mindset, who is able to always be a step ahead and have the gravitas to become the CFO’s business partner and to support them to achieve their goals.  

 

Finance Director support

  • Extensive diary and calendar management in a timely and professional manner
  • Owning activities, including, but not limited to, travel arrangements, system approvals, purchasing orders and tracking annual spend, etc.  
  • Ensuring Finance Director’s full preparation for all meetings, including agenda and presentations, pre-read and follow-up actions with priority given on all ExCo and Board level reviews
  • Leadership team agenda management and all hands coordination
  • Support on ad-hoc requests/cycle requests
  • Ability to understand the business area and proactively support the Director to achieve their day-to-day and long-term objectives

 

Relationship Management 

  • Building and developing meaningful relationships with stakeholders and administrators across Group and markets  
  • Acting as professional point of contact on behalf of Directors to internal and external visitors
  • Professional and resilient at all times internally and externally

 

Team assistance with

  • Supports the team to deliver activities related to programmes/projects through active involvement in specific initiatives to ensure they meet time, cost and quality requirements, comply with project standards and maximise benefit delivery
  • Team forums and meetings, arranging hotel conference facilities, catering, delegate registration for meeting and travel to delegates
  • New joiners and leavers management  
  • Team organisation charts maintained, and all distribution lists kept current
  • Travel arrangements  

Who you are

Core competencies, knowledge and experience:

  • Superb organisational, prioritisation and communication skills
  • Strong secretarial / general administrative experience
  • Track record of  project, programme and vendor management  
  • Comfortable working under pressure and taking full ownership of work, both on a 1-2-1 and at a team level
  • Ability to communicate and to build meaningful relationships across all levels and audiences both internally and externally, including vendors and suppliers  
  • Proactive, positive and can-do attitude and ability to learn quickly

 

Must have technical / professional qualifications: 

  • Experience in working as a senior member’s partner and building a trusted relationship with them
  • Advanced Microsoft Office suite capabilities
  • Concur, Success Factors and CWT knowledge will be considered an asset
